Order detail and mobile reference

This reference maps the sales order detail page: the header and its action set, the contextual banners, the order details card, every tab, the running totals footer, the Fulfillment workflow surface, and how the same order looks on a phone. Use it to find where something lives and when it appears — the how-to guides cover the tasks themselves.

Open a detail page by clicking any order number on the list at Orders → Sales Orders. Examples below use order SO-DOCS-0001 (customer Blue Bottle Retail, store Main Store, warehouse Main Warehouse).

New to the terms?

Jargon like fulfillment order, allocation, backorder, RMA, dropship, and MCF is defined in the glossary.

The order header

The header (the OrderBar) sits at the top of every detail page. The left side identifies the order; the right side holds the action set. When you scroll down, a condensed sticky bar with the same identity and primary actions pins to the top of the page.

Left side: Identity and chips

ElementShows
Order numberThe order's number (for example SO-DOCS-0001). In edit mode this becomes an editable field — except on external-channel orders, whose number is owned by the channel.
Channel nameThe sales channel or store beneath the number. For channel orders, two icon links appear — one opens the channel order inside SKU.io, the other opens the order in the source channel.
Order / Fulfillment / Payment chipsThree color-coded status chips. Each is a popover: click it for a step-by-step breakdown of that status axis and where the order sits now. For every value, see the status reference.
Dropship chipA purple Dropship chip when the order has one or more dropship purchase orders.
Address chipAn Address warning (amber) or Address blocked (red) chip when the shipping address fails a validation check; hover it for the specific warnings.

The three status chips are independent — an order can read Open / Awaiting Tracking / Paid all at once. See How sales order status works.

Right side: Action set

Which actions show depends on the order's status, its channel, and your permissions. Live viewers of the record and a record navigator (previous/next order) also sit here.

ActionWhere it'sShows when
ApprovePrimary buttonOrder is Draft and you can approve. Disabled until the order has at least one line. See Approve, reserve, and allocate stock.
Sync (cloud icon)Icon buttonExternal-channel orders — re-downloads the order from the channel.

The More menu holds two sections:

Cancel OrderDangerOrder isn't already cancelled. Disabled on external-channel orders — those must be cancelled in the source channel, which syncs back.
Delete OrderDangerYou can delete orders.

For the close/cancel/reopen/delete flows and their side effects, see Close, cancel, archive, and delete orders.

Edit mode

Clicking Edit turns the header amber and swaps the action set for Cancel and Save. Header fields (customer, store, dates, shipping method) save when you click Save; line-item changes (quantity, price, add/remove) save automatically as you make them, tracked by a live indicator that reads Saving line items…Line items saved. The Save button is disabled when there are no header changes to save.

Contextual banners

Banners stack between the header and the content. Each appears only in its condition.

BannerAppears whenWhat it does
Unlinked product lines (orange)The order has channel lines not yet mapped to products, and isn't cancelledPrompts you to link lines so fulfillment, inventory, and reporting work. Feeds the Channel tab count.
Cancelled (red)The order is cancelledStates that all inventory allocations were cancelled. Offers Reopen Order to uncancel.
Edit lockAnother user — or your own other browser tab — holds the edit lockNames the holder and blocks editing. Lets you request the edit or take over the lock.
Stale recordAnother user changed the order while your page was openWarns the data is out of date and offers to refresh, noting whether you have unsaved changes.
Funded by CreditThe order is an exchange (EXC-) funded by returned-merchandise creditLinks to the sales credit that funded it and shows the credited amount. See Resend and exchange an order.
Store credit availableOn the Payments tab, when the customer has open store creditShows the available balance and an Apply Store Credit button. See Record payments and apply store credit.

The order details card

Below the banners, the details card lays out the order's parties and settings in three columns. In edit mode, editable fields become inputs; addresses and customer open pickers via Change.

ColumnFields
Order DetailsStore, Customer (with company and email), Sub Channel, Sales Rep, Order Date, Currency, Tax Included, Customer PO#, plus any custom fields marked visible in order details.
ShippingShip To address (with an Override ship-to name / address action when you can manage shipping) and Shipping Method.
BillingBill To address.

A metadata strip above the columns shows the record ID, Created (date and creator), and Updated (date and last editor).

For editing these fields, see View and edit a sales order. For what each field means, see the fields reference.

The tab bar

A sticky tab bar sits above the content. Each tab carries a count chip; some are hidden or disabled by rule. Tabs appear left to right in this order.

FulfillmentActive fulfillmentsAlways shown; disabled on a cancelled order that has no fulfillments. See the Fulfillment tab below.

Fulfillment progress strip

Above the tab content, a strip summarizes units shipped, in flight, and still to fulfill. It's hidden on cancelled orders — there is nothing left to ship, so a "to fulfill" strip would mislead.

On the Lines tab, quick-scroll chips (Product Lines, Revenue Lines, Cost Lines) jump you to each grid.

A totals footer pins to the bottom of the page and stays in view as you work. It reads the same order-level figures everywhere it appears.

FigureShows
SubtotalSum of product-line revenue before tax and discounts.
DiscountsTotal line- and order-level discount; the popover breaks it down by line and order discount.
TaxTax total. Reads Tax (Mixed) with a per-rate breakdown when lines carry different rates.
Revenue LinesTotal of financial revenue lines (for example shipping and handling charges), with a per-line breakdown.
TotalOrder grand total. While editing, reads Total (with pending) and breaks out pending additions.
PaidTotal payments received.
CreditsSales credit applied to the order, shown as a negative.
Balance DueWhat remains — green at zero, red when money is still owed.

The Fulfillment tab

The Fulfillment tab is the order's ship surface. It reads as a two-tier plan — per-warehouse fulfillment orders (the intent) that become shipments (the execution). For the model behind it, see Two-tier fulfillment: intent vs execution.

At the top, a summary row counts Active Orders, submitted shipments, Fulfilled, and anything that needs attention. Below it, a Status filter chips the fulfillment orders by stage:

FilterShows
AllEvery active fulfillment order.
PendingPlanned but not yet dispatched.
SubmittingBeing sent to a shipping provider or channel (shown only when relevant).
SubmittedDispatched and awaiting tracking.
ExceptionFulfillment orders that need attention (shown only when relevant).
FulfilledShipped and complete.
VoidedVoided shipments, retained for history (shown only when relevant).

Fulfillment orders group by warehouse. Each card drives the lifecycle, subject to your permissions and the order's state:

  • Reserve / Unreserve lines against on-hand or incoming stock.
  • Change warehouse for lines (allowed only before the warehouse lock takes hold).
  • Quick dispatch or Fulfill — the fulfill dialog picks per-line quantities. See Fulfill a sales order.
  • Mark for pickup / Mark as picked up for in-store collection.
  • Dropship the lines and enter tracking for the supplier shipment. See Create a dropship request.
  • Link MCF / Cancel MCF order for Amazon MCF. See Fulfill via Amazon FBA or MCF.
  • Submit to channel / Clear submission for channel-managed fulfillment.
  • Print packing slip, and resync to / resync from the shipping provider.
  • Merge fulfillment orders within this order or across orders; a merged-shipment indicator shows when the order is part of an open merge group. See Split, move, and merge fulfillments.

For voiding, restoring, or resetting a shipment, see Void, restore, or reset a shipment.

Amazon FBA orders are read-only here

An Amazon FBA / AFN order replaces the whole workflow with a read-only Amazon FBA shipments view sourced from the FBA Shipments report — SKU.io doesn't ship it, Amazon does. See Amazon FBA, MCF, and externally fulfilled orders.

The mobile experience

On a phone, both the list and the detail page adapt to a single column. Mobile is read-first, but editing is fully supported: the inline Order & addresses accordion is display-only, and an Edit order action in the action sheet opens a dedicated full-screen edit form.

The list on mobile

ElementWhat it does
Mobile headerTitle, a search box (with the same searchable fields as desktop), a saved-views bar, and an overflow menu with Import and Export.
ToolsA column picker and an Advanced Filters entry point.
Filter sheetA bottom sheet where you stage a filter tree as a draft and apply it in one go.
Card listOrders render as cards instead of table rows.
Create buttonA round + button, bottom-right, opens the create-order modal. Hidden while you have rows selected.
Bulk action barWhen rows are selected, a sticky bar shows the count and a Selected / All scope toggle, matching the desktop bulk panel. See Bulk actions on the sales orders list.

The detail page on mobile

ElementWhat it does
HeroBack link and breadcrumb, the order number, a overflow trigger, the store · customer line, and the three status chips.
Money card + info accordionA money summary card, then a collapsible Order & addresses panel (order meta, customer, ship-to, bill-to). The accordion itself is display-only — editing happens through the dedicated edit overlay, not here.
Segmented tab barFour promoted sections — Lines, Fulfillment, Payments, Credits — with count badges, plus a grid button that opens a sheet listing every other section.
Action sheetThe opens a grouped sheet that runs the same actions as the desktop More menu. Its Primary group leads with Edit order, followed by status transitions; a Quote group appears on quotes; then Documents & sharing and a Danger zone group. Disabled actions show why.
Edit overlayChoosing Edit order opens a full-screen, single-column edit form — a mobile mirror of the desktop details card (order number, store, customer, ship-to and bill-to addresses, dates, and custom fields). It reuses the same save pipeline as desktop, with a Save FAB and a Cancel action.
Context buttonA floating action button that's tab-contextual, not tied to order state: Add Payment on the Payments tab, Create Credit on Credits, Create RMA on RMAs, and a Save FAB while editing. It's hidden on every other tab.

Keyboard shortcuts (desktop)

The detail page responds to a few single-key shortcuts:

KeyAction
NJump to and focus the product-lines area to add a line.
EEdit the order.
⌘S / Ctrl+SSave header changes (while editing, when there are changes).
EscCancel editing (prompts if you have unsaved changes).

When you open an order straight after creating it, the page automatically scrolls to and focuses the product-lines area so you can start adding items.
