Create & send a quote
A quote is a priced proposal you send a customer before the sale. It's a standalone record — send it, let the customer accept it, and convert it into a sales order without ever retyping the lines. One quote can spawn several orders, and prices are locked at acceptance so what the customer agreed to is exactly what they're billed.
Before you begin
- The customer should exist if you want lines to auto-price from their pricing tier (a quote can also be customer-less and priced by hand).
Create the quote
- Go to Orders → Quotes and click New Quote.
- Pick the Customer, set the Currency, and optionally a Valid Until date and Terms. Leave Allocate inventory when this quote is sent ticked to hold stock for the customer on send.
- Add lines: Add Product opens the product picker (lines auto-price from the customer's tier), or Add Revenue Line for a non-product charge like shipping or handling.
- Click Create Quote. It opens as a draft — refine lines, discounts, tax, and the customer PO on the detail page, and watch the Subtotal / Discount / Tax / Total footer update.
Send it
Click Send. SKU.io snapshots the quote as an immutable version, sets the expiry, allocates the opted-in inventory, and emails the customer — the status moves to Sent (and to Viewed once they open it).
A quote runs Draft → Sent → Viewed → Accepted → Ordered, with Declined, Expired, and Revised branches. Export → Download PDF gives you a copy to share directly. A discount over 20% needs approval before the quote can go out.
Turn it into a sales order
- When the customer's ready, click Accept (status → Accepted).
- Click Create Sales Order. SKU.io builds a draft sales order with the quote's lines price-locked — line and order discounts baked into each unit price. When every line is ordered, the quote's status becomes Ordered, and a banner links the two records.
Because the quote isn't consumed, you can create more orders from it later — useful for progressive or partial ordering.
