Track inbound shipments

A purchase order says what you bought; an inbound shipment tracks how it physically arrives — the container, the carrier, the tracking number, the ETA. One shipment can carry lines from several POs, and one PO can arrive across several shipments.

Before you begin​

  • Open, submitted purchase orders with unreceived lines. The PO's own header warehouse is only a pre-fill default — a shipment carries its own destination.

Create a shipment​

  1. Go to Orders → Inbound Shipments and click New Shipment.
  2. Pick the Destination Warehouse, and optionally the Carrier, Tracking Number, Available ETA, and Notes.
  3. Click Create Shipment. The new shipment opens in Draft with tabs for Overview, Items, Receipts, Linked POs, and Landed Costs.
  1. On the Linked POs tab, search for the purchase order and tick it.
  2. Click Next: Review Lines — each PO line shows its ordered/received quantities. Untick anything not on this shipment.
  3. Click Add N Lines to Shipment. The Overview tiles update with the expected units, and the supplier joins the header.

A line can only ride one active shipment at a time, so nothing gets double-counted.

Move it through its life​

  • Mark as Planned — the shipment is booked.
  • Mark as Shipped — it's In Transit. From here the actions become Receive Items, Close Shipment, and Cancel. In-transit units show on the warehouse's Pending Inbound tile and its Inbound tab.
  • Reverting (Unmark as Shipped) warns before returning the shipment to draft and clearing the shipped date.

Receive against it​

Receive Items records what actually arrived; the Receipts tab keeps every receipt. Receiving here is the shipment-shaped version of receiving against the PO — quantities flow back to the same PO lines either way. The Landed Costs tab holds freight and duty attached to this shipment — see Add landed costs.
