Browse & search the product inventory list

The product list is where most inventory work starts. From it you find a product, read its live stock figures across the inventory columns, scan a barcode to jump straight to a unit, or select several products at once and send them into a stock take. This guide covers searching, reading the columns, tuning which columns show, and the bulk stock-take entry point.

Before you begin

  • Open the list at Inventory → Products (also reachable from the Products area of the left navigation).
  • Anyone with product-list access can browse, search, and read the columns. Bulk actions such as Stock Take and Archive are permission-gated — buttons you lack permission for don't appear.
  • The on-screen inventory numbers are a fast cache rebuilt from the movement ledger; the ledger, not the cache, is the source of truth. See Stock states for what each figure means.

Search for a product

The search box at the top of the list runs a full-text search over each product's SKU, MPN, and name.

  1. Type into the search box (placeholder Search by SKU, name, barcode, MPN, brand...).
  2. Results rank by field weight — a SKU match outranks an MPN match, which outranks a name match — so typing a full or partial SKU surfaces the exact product first.
  3. Use the searchable-field chips (SKU, Name, Barcode, MPN) shown on the search box to scope a term to one field.
Search is powered by the search index

Full-text search runs against the products search index, not a raw database LIKE. A brand-new product becomes searchable once it's indexed (near-instant in normal operation). If a product you just created doesn't appear, wait a moment and search again, or find it with an advanced filter instead.

Read the inventory columns

The Inventory column group carries a product's live stock figures. Each is a separate state that answers a different question — see Stock states for the full model and Stock states & fields reference for exact definitions.

There is no "reserved" status

SKU.io has no "reserved" inventory status. On-hand stock is split into Available, Allocated (units promised to open sales-order lines), On Hold (units fenced off manually), and Non-Sellable. The list carries On Hold and Non-Sellable as first-class columns; Allocated isn't a list column — to see a product's full breakdown open its stock across warehouses. Allocated stock is explained in Allocations & backorders.

Show or hide columns

Most inventory columns are hidden by default to keep the list readable — only Stock Value shows out of the box.

  1. Open the Columns selector in the list toolbar.
  2. Turn on the inventory columns you want (for example Available, On Hold, Non-Sellable, Incoming, In Transit).
  3. For the per-warehouse columns (Inventory and Inventory (Available) per Warehouse), pick the warehouse whose quantity you want to see, sort, and filter on.

Your column choices are remembered, and you can capture a column layout together with its filters as a saved view.

Filter, narrow, and save the list

  • Archived toggle. The list footer carries an All / Active / Archived toggle. It opens on Active, so archived products are hidden by default. Switch to Archived to see only archived products, or All to see both.
  • Advanced filters. Build a filter tree — for example Available is less than 10 combined with a warehouse condition — from the Advanced filters button. Every inventory column is filterable and sortable.
  • Saved views. Save a filter-plus-column combination (such as "Low stock, Main Warehouse") as a view you can reopen in one click.
  • Import / Export. Export the current list to a spreadsheet, or import product updates in bulk.

Scan a barcode or SKU

Barcode lookup resolves a single scanned code straight to one product — useful at a scanner or on the warehouse floor.

  1. Trigger the scan action and enter or scan a code.
  2. The lookup matches exactly — no partial or fuzzy matching. It checks barcode first, then SKU, and returns the first exact match.
  3. Archived products are never returned by a scan.
A scan that matches nothing returns an empty result

When no active product has that exact barcode or SKU, the lookup returns an empty result rather than an error — nothing is opened. Re-check the code, or search by SKU or name instead. Partial codes won't match; use search for partial terms.

Start a bulk stock take from a selection

You can turn a set of products on the list into a stock take without leaving the page — a fast way to count a shelf, a supplier's range, or a filtered low-stock set. This also establishes an opening on-hand figure for products that have never had a movement.

  1. Select the products with the row checkboxes. A bulk-actions bar appears.
  2. Click Stock Take.
  3. In the Perform Stock Take dialog, choose the Warehouse to count in. If you have only one eligible warehouse, it's selected for you.
  4. Click Create to open the stock take. SKU.io takes you to the new stock take's detail page with your selected products already added — enter your counts there.
Channel-managed warehouses can't be counted here

The warehouse picker lists only warehouses whose stock you manage yourself. Channel-managed warehouses — Amazon FBA, Amazon AWD, and Walmart WFS — and virtual or supplier warehouses are excluded, because their quantities are owned by the channel and can't be set by a manual count or transfer. Reconcile those through the channel's own inventory sync instead.

A stock-take-only product still has a ledger

If you establish a product's opening balance through a stock take rather than a purchase-order receipt, the product reads as having "no movements" in some views, but it does carry a full movement ledger — the stock take writes the opening entry that every later figure reconciles against.
