Review and approve documents in your inbox

When a document lands in your Document Inbox, SKU.io has already scanned it and matched it to your records. Your job is to check that reading and approve it — this guide walks a customer PO from the inbox to a finished sales order.

Before you begin

  • A document must be in the inbox. Customers and suppliers can email one (see how the Document Inbox works), or you can scan a PDF when creating a purchase invoice or sales order.
  • You need permission to view and create the matching record — for a customer PO, the same access you'd need to create a sales order.

Steps

  1. Go to Orders → Document Inbox. Each row shows the document's Type, who it's From, its Status, and the Channel it arrived on.
  2. Find a document with the Pending Review status and click Review.
  3. Compare the two panels. The original document is on the left; on the right is everything SKU.io extracted — the customer, the document number, the dates, and the totals.
  4. Check the matched Customer. If the Matched chip shows the wrong contact, click Change to pick another, or Create Customer to add a new one.
  5. Review the Line Items. Each line matched to your catalog shows an exact badge. Confirm the quantities and prices, and for any unmatched line, use Match to product or mark it as a revenue line.
  6. To turn the document into a record, click Create Sales Order. SKU.io creates the order with the matched customer, products, quantities, and prices, and the inbox row changes to Confirmed.

Handle the exceptions

  • A scan failed. If a row shows Failed, the document couldn't be read. Click Retry to scan it again.
  • Wrong document type. If a supplier sent a credit memo that landed as an invoice, open it and click Reclassify to move it to the right type.

When customers email purchase orders and suppliers email invoices, SKU.io reads them for you and drops each one into the Document Inbox, under Orders.
