Track supplier inventory

A supplier's Products tab shows inventory on both sides of the relationship: Supplier Inventory (what the supplier has in stock at their warehouses) and Our Inventory (what you hold of that supplier's products). Supplier stock levels aren't just informational — dropship automation only creates purchase orders when the supplier has stock available, so keeping this data current pays off.

Before you begin

• The supplier must be a Product Supplier with products linked to it — see Manage a product's suppliers.
• The supplier needs at least one supplier warehouse (every supplier gets a default one when created).

Open the Products tab

1. Go to Contacts → Suppliers and open the supplier.
2. Click the Products tab. The Supplier Inventory page opens with two sub-tabs: Supplier Inventory and Our Inventory.

Supplier Inventory — the supplier's own stock

The Supplier Inventory sub-tab lists what the supplier has, per supplier warehouse, with columns for Source, SKU, Warehouse, Quantity, ETA, In Stock, and Discontinued.

You can edit rows inline:

• Click add eta (or an existing date) in the ETA column to open the Select ETA Date dialog — when the supplier expects to restock.
• Tick or untick the In Stock and Discontinued checkboxes directly on the row.

The Source column records where each figure came from — rows you enter or import show User.

Import supplier inventory from a spreadsheet

Click Import (top right of the sub-tab) to open the Import Supplier Inventory dialog — the same four-step importer used elsewhere: Upload → Map Columns → Preview & Validate → Import.

1. Click Download Template to get a starter file with a field guide and reference data, or bring your own — drag and drop a CSV, TSV, or Excel file, click Choose File, or paste CSV/TSV text.

2. Map your columns. Only SKU is required:

   Column	Required	Notes
   SKU	Yes	Your product SKU. Rows are matched to the supplier's linked products by SKU.
   Quantity	No	Units the supplier has; whole numbers.
   ETA	No	Expected restock date.
   In Stock	No	Stock flag.
   Discontinued	No	Discontinued flag.
   Warehouse	No	Supplier warehouse for the row. Rows without one go to the supplier's default warehouse.

3. Click Next: Validate. The preview shows Total Items, Valid, and Errors counts, with each row resolved to its product and supplier warehouse.

4. Click Import N items. The rows are sent to the background queue — the dialog confirms Import queued, and you can track progress in the job tray (bottom right) or keep working.

Rows whose SKU doesn't match a product linked to this supplier are skipped, so link products to the supplier first.

Export supplier inventory

Click Export to pull the current supplier inventory out as a spreadsheet — it includes the SKU, supplier SKU, quantity, ETA, stock flags, and warehouse columns, and doubles as an edit-and-re-import template.

Our Inventory — your stock of their products

The Our Inventory sub-tab summarizes your own holdings of this supplier's products: stat tiles for Stock Value (on hand + in transit), SKUs, Available, Allocated, On Hold, and In Transit, above a per-warehouse grid (SKU, product, warehouse, status, on hand, available, allocated, on hold, in transit, total inventory, stock value, updated). Filter by warehouse, status, or date, and save views — the same saved-views bar as other lists.

Use it to answer "how much of Acme's catalog do we still hold?" without leaving the supplier.
