Browse, search & filter the products list
The Products list is your home base for the catalog. It shows every product with its type, brand, suppliers, live stock positions, and costs, and gives you search, quick filters, an advanced filter builder, saved views, and sorting to narrow thousands of rows to the handful you need.
Before you begin
- You need the
products.viewpermission to open the list. Row actions gate on their own permissions —products.archive,products.delete,products.update,products.create,products.import, andproducts.export. See the product permissions reference. - For the full column, search-key, and filter-column catalog, keep the products list columns, search & filters reference open alongside this guide.
Search the list
- Go to Products.
- Type in the Search by SKU, name, barcode, MPN, brand... bar at the top of the filter panel.
- Results narrow automatically after a short (500 ms) debounce — you don't press Enter.
Search matches these fields: SKU, Name, Barcode, MPN, and Brand. Click into the search bar to see the searchable fields listed as chips; you can scope a search to specific fields from there. Search composes with every filter and sort below — a search plus a Type filter plus a sort all apply together.
Apply quick filters
The filter row under the search bar holds five quick filters:
| Filter | Behavior |
|---|---|
| Type | Multiselect. Options: Standard, Bundle, Kit, Matrix, Blemished, Manufactured. |
| Brand | Multiselect, populated from your brands. |
| Default Supplier | Multiselect, populated from your suppliers. |
| Stock | Single-select: All (default), In Stock, Out of Stock. |
| Backorder | Single-select: All (default), Has Backorder, No Backorder. |
The Stock and Backorder filters default to All. Combine any of these with search and the advanced filters — they all stack.
To learn what each type means, see product types explained.
Build an advanced filter
For anything beyond the quick filters, use the advanced filter builder — a grouped tree of conditions with AND/OR logic.
- Click Advanced Filters (the funnel button in the toolbar). The button shows a count badge when conditions are active.
- Add conditions from the grouped columns:
- Basic Info — SKU, Name, Barcode, MPN, Type, Stock UoM
- Pricing & Cost — Default Cost, Avg Cost, Default Supplier Price
- Relationships — Brand, Default Supplier, Category, Tag, Parent Product, Component SKU, and more
- Sourcing — Leadtime, MOQ, Target Stock Days, Supplier Count, Has No Suppliers
- Shipping — Weight, dimensions, case fields, FBA Prep Instructions
- Inventory — On Hand components, Available to Sell, Backorder, DAC, Min Stock Level, Lot Tracking Enabled, Lot Tracking Method (FIFO/FEFO)
- Nominal Codes — Sales, COGS, Inventory, and Accrued Purchases codes
- Other — Dropshippable, Has FBA, Has Image, Has Broken Image
- Dates — Created At, Updated At, Archived At, plus Date of Return and Date of Sales Credit
- Click Apply.
Applied conditions appear as filter chips below the toolbar. Click a chip's edit icon to change it, or its remove icon to drop it. Some columns are lookups — Stock UoM and Tag fetch options as you type; Type and Lot Tracking Method are select lists. Checkbox columns such as Has Broken Image filter to products in that state (to act on those, see find & fix broken product images).
Sort columns
Click a sortable column header to sort by it; click again to flip the direction. The list defaults to Created (newest first).
Not every column is sortable. Derived and relationship columns — Brand, Suppliers, Tags, Default Price, and the default-supplier columns — are display-only and can't be sorted. A sortable column that has a filter applied shows a filter indicator in its header.
Toggle the archived scope
A three-way toggle in the footer controls which products are in scope:
| Scope | Shows |
|---|---|
| All | Active and archived products. |
| Active | Only active products. This is the default. |
| Archived | Only archived products (each shows its Archived state). |
Archiving is a soft, reversible action — an archived product keeps its history and can be unarchived. See archive, unarchive & delete a product.
Paginate the list
The list loads one page at a time from the server; changing search, filters, sort, or scope refetches from the server rather than filtering in the browser.
The footer holds the pagination controls, alongside the archived-scope toggle:
- The left side shows a
{n}of{total}entries count — how many rows are on the current page out of the full filtered total. - The page navigator steps through pages; the Page select jumps straight to a page number; the Per page select changes how many rows load at once.
- On mobile these controls live in the footer sheet instead.
While a page loads, the table shows skeleton placeholder rows. When a search or filter matches nothing, the list shows No products found — clear or loosen your filters to bring rows back.
Expand supplier sub-rows
The Suppliers column summarizes a product's sourcing: a single linked supplier shows its name inline, while multiple show a count such as 3 suppliers.
- Click a Suppliers cell to expand a nested table beneath the row. It loads on demand (a spinner shows while it fetches).
- The sub-table lists each linked supplier with a Default star, the Supplier (a link to its detail page), Supplier SKU, MOQ, Leadtime, Stock Days, and one column per supplier pricing tier.
- Use the expand/collapse toggle in the Suppliers header to open or close every row at once.
If a product has no linked suppliers, the expanded area reads No suppliers linked. To change these links, see manage a product's suppliers.
Switch the view
The toolbar's view toggle switches between the table view and a grid view of the same filtered results. Both honor your filters, sort, and archived scope. Use the Columns selector to show or hide columns; several columns (Barcode, MPN, Non-Sellable, Total Inventory, and more) are hidden by default and can be added there.
The On Hand column sums Available + Allocated + On Hold + Non-Sellable (it excludes In Transit). For how these stock figures are calculated, see the Inventory guides.
Right-click actions
Right-click any row to open the context menu. It resolves the row's cell values so you can copy them or filter the list by (or away from) a value, and it offers View Product plus Archive/Unarchive and Delete when you have those permissions. In the SKU cell, a copy button copies the SKU to your clipboard.
Use saved views
Saved views capture a filter, sort, and column layout you return to often (for example "Out of stock, no supplier").
- Set up the search, filters, sort, and columns you want.
- Save the arrangement as a view from the Saved Views bar above the filters.
- Star a view to pin it to the favorites bar for one-click access.
The list waits for your default view to resolve before its first load, so you land on your preferred arrangement rather than an unfiltered flash. Saved views are specific to the Products list.
Scan a barcode
SKU can look up a product by an exact barcode or SKU scan — this powers the scan-to-find box in receiving flows such as receiving a purchase order or a warehouse transfer.
- The lookup is exact match only — no partial or fuzzy matching.
- It checks the barcode first, then falls back to the SKU.
- It only matches active (non-archived) products.
- If nothing matches, it returns an empty result rather than an error, so the receiving screen simply reports "not found" and lets you rescan.
On mobile
On a phone the list becomes a stacked card surface:
- Search from the mobile header; open the filter sheet for the same Type, Brand, Default Supplier, Stock, and Backorder quick filters. The sheet uses a draft state — set your filters, then Apply (or Clear).
- The archived scope and pagination live in the mobile footer.
- Each card has a kebab menu for View, Archive/Unarchive, and Delete.
- With nothing selected, a floating Add button creates a product; selecting cards swaps in a sticky bulk action bar for Edit and more.

The Products list is your home base for the catalog — every product with its type, brand, suppliers, and live stock positions. Search by SKU, name, barcode, MPN, or brand at the top, and results narrow as you type, with no Enter needed. The quick filters stack on top of your search — narrow by type, brand, default supplier, stock, or backorder. Every filter combines with the others and with the search. For anything more specific, open Advanced Filters — a grouped builder that combines conditions across pricing, sourcing, inventory, and dates. Save an arrangement you use often as a view, and pin it for one-click access.
